Help, my email isn’t working!

Setting up and managing your email can sometimes be quite complicated. A common problem is that you can no longer send or receive emails. On top of that, when setting up your email you’ll also run into terms like POP3 and IMAP. For many people these are unfamiliar terms, but it is important that POP3 and IMAP are set up correctly.

You can no longer receive emails

Your website and your email account are tied to a certain amount of disk space. When you’ve chosen IMAP while setting up your mail, all your mail stays on this disk space. The result of this is that your disk space fills up, meaning you can no longer receive email. A mailbox can fill up quickly, for example due to large attachments, a lot of spam, or when you don’t clean out your mailbox regularly.

Cleaning out your mailbox

When you want to create extra disk space again, it’s necessary to remove the email from the server. You do this by logging in online to your email account (for example: www.yourdomainname.nl/webmail). When you delete mail from here, it’s really deleted. It’s also important that you don’t just delete the emails in the inbox, but also in sent items and of course the trash!

Large files won’t send

When you attach large files (larger than 10MB) to emails, this can cause problems. Providers often have it set up so emails larger than 10MB can’t be received or sent. The result is that these emails get stuck in your sent items and that you can no longer receive new mail. In this case you’ll need to delete this email yourself from your sent items, allowing you to send and receive mail again. Should you regularly send emails larger than 10MB, it’s best to use WeTransfer.

Regularly deleting emails but still over your disk space

Because the disk space is divided between both the email and the website, it can sometimes happen that you’re still going over your disk space, even though you clean out your mailbox regularly. In this case, the best solution is to switch to another mail system with more storage space.

The best solution with Office 365
